When you create a new job and click on "Plan personnel requirements", you will be directly redirected to the page where you can specify how many employees per category you need for your job using the quick start. The categories preset by the system can be customized or additional ones added under Administration > Staff > Categories.
Click on "Add category" and you will immediately get an overview of the personnel requirements you have just created. These now need to be filled with specific employees. To do this, click on the "Add employee" icon:
Add employee
Depending on your selection, all employees, freelancers, vehicles, rooms, or subcontractors will be displayed. You can now select these and drag & drop them to either to request, available, or book directly. Behind each employee, you will see the projection of their personnel deployments. When searching for the right employees, filters can be used, which can also be combined:
Category: the activity of an employee. For example, if an employee should have skills in different categories for a job, two or more categories can be selected using the filters. For each category, you can additionally filter by a skill level that can be assigned to your employees in the master data.
Certificate: Does an employee need a specific certificate for the job, e.g., a particular driving license?
Language: Should an employee be able to speak a certain language for the job?
Department: If you use our extension "Departments", all employees of a specific department will be shown here.
Branches: If you use our extension "Branches", all employees of a specific branch will be shown here.
Radius: Here, the system compares the postal code of the location with the postal code of the employees and can thus tell you who lives closest to the event location.
Clash of dates: Here, you can filter out individuals who have schedule conflicts and therefore are unlikely to be available for assignment.
Name: You can search by name here.
Usage: Here, employees are displayed whom you use either most frequently (descending) or least frequently (ascending).
Working hours: Here, sorting is done by target hours. Filter employees here who have fulfilled the fewest (ascending) or most (descending) target hours this month.
Flexitime balance: Here, you can sort by the current flexitime balance. This allows you to consider employees with extremely high or low flexitime balances separately.
Planned vs. Actual (%): With this sorting option, employees can be sorted based on the planned achievement of their target working hours. Since the sorting is done on a percentage basis, it is easy to find those individuals who still need to be scheduled.
Additional information: If you have stored additional data under Administration > Personnel > Additional information, you can also filter by these here.
The personnel and vehicle requirements are displayed as x/x (booked / needed) in the calendar and many other places – depending on user rights. This display can be extended to booked / requested / available under My Account > Settings.
