The calendar is the heart of the software and offers you exactly the overview you need through various views and filters. In each view, you will find four icons in the upper right corner that allow you to create a new calendar entry, search for an entry, print the calendar, or download it. In every view, you can select the desired date in the upper right corner. Depending on the view, you can choose the year, month, calendar week, or day. By selecting forward or backward at 'Today', you can navigate through years, months, weeks, or days, again depending on the view. Filters can be applied in every view, making your display even clearer. Access to the views "Planning", "Overviews", and "Time-off overview" is only granted with the appropriate access rights.
Here you have the entire year in view with all your recorded events, jobs, or even birthdays (depending on the defined settings). You can open each of these entries by clicking on them to retrieve all information or, depending on your access rights, edit them. If you want to create a job for a specific day, you can do so directly by clicking on the respective day.
Which entries are displayed in this view can be controlled via the filter function.
Here you have an overview of your events and jobs on a monthly basis. When you hover the mouse over a job, all relevant information is displayed directly. At the bottom, via "Customize monthly view", you can also deactivate the preview on mouseover. Click on "Open job" if you want to view or edit it in more detail. By clicking, the job's mask opens directly.
To create a job, click on the date you have chosen. A mask will open where you can now plan your new job.
Which entries are displayed in this view can be controlled via the filter function.
In the weekly view, you can see some information about your jobs directly. You determine which information these are via 'Customize week view'. You can find this function at the very bottom of the left tab. Here you can also decide whether a mask with more detailed information should appear when you hover the mouse over the respective job.
The personnel requirements are displayed here for the individual categories of a job.
By clicking on the job, the mask opens to edit it. Here, too, you can directly create a job by clicking on the date.
Which entries are displayed in this view can be controlled via the filter function.
The bar view can be displayed in the navigation from the perspective of personnel, jobs, schedulers, project managers, or time recording. From the daily view, it offers an hour-based overview that can be expanded to a weekly or monthly view. To customize the view, click on "Week" or "Month" in the left menu under "Bar view". For each employee, it also shows how many bookings exist in this period and how many hours these bookings cover (according to calculation).
What exactly appears in this view can again be controlled by setting filters. For example, you can filter by one or more individual employees via "Filter employees".
When you hover the mouse over an event, you get its information. If you click on "Open job" there or directly on the event, its mask opens and you can edit it – depending on your access rights.
If the bar view is switched to "Jobs", the personnel requirements for the individual jobs are displayed.
Note: This view is intended for advanced users. It should only be used once you have already recorded jobs and employees and know exactly how you want to work with the three levels (Project, Main job, Subjob).
In this view, you see two axes. Depending on the filters set, you see the jobs on one side and the employees involved on the other. The axes can also be swapped.
Based on the color coding, you can see at a glance which employees are requested, entered, or available. Which ones have already been booked, who has rejected, who is on vacation or sick, and who is not available for the job.
If your jobs are on the horizontal axis, you can open the job's mask by clicking on it as usual and – depending on your access rights – edit it. As an administrator, you can manage your employees directly for the jobs by clicking in the column of the respective employee. A mask opens where you can request, set on available, book directly, or mark the employee as unavailable. You can also select the category here, possibly make a preselection via the checkboxes, and view or adjust the payment. The categories and payment are based on the information stored in the base data. You can cancel an already requested or booked employee via this way.
If you swap the axes so that the jobs are now on the vertical axis, you can again open and edit the job by clicking on it. As an administrator, you can also request, book, or cancel employees directly here by clicking, as described above, on the employee's column in the respective job. If you click directly on the categories to be filled, the corresponding category is preselected for the employee. In this view, you also have the option to get an overview of the individual job in the axis overview by clicking on the eye icon.
Again: Which entries are displayed in this view can be controlled via the filter function. For example, you can filter by one or more individual employees via "Filter employees".
Here you get a monthly overview by default, but you can set a desired time frame by clicking on the data. In the overviews, you can display employees, freelancers, subcontractors, vehicles, and rooms by setting the corresponding checkboxes. With the help of further filters or the "Group" checkbox, you can find what you are looking for even faster.
You can get the overview either with regard to availability, jobs, time recording, or time-off. There is also a grid view.
Here you have the monthly overview of holidays / official holidays, the number of jobs per day, the daily staffing needs, and which employees, freelancers, subcontractors, or vehicles are booked, available, or requested for which job (depending on the filters set). The respective color coding indicates the status, as explained in the legend below. The number indicates how many jobs the employee in question is scheduled for on that day. In the jobs column, the number of individual jobs on the respective date is displayed. Clicking on the blue highlighted numbers displays the individual jobs, whose mask can be opened by clicking again. This way, you not only get their information but can also edit them (depending on access rights).
When you hover over the individual jobs of employees, freelancers, subcontractors, or vehicles, the title of the job is displayed. Clicking on it opens its mask for further information and editing (depending on access rights).
Clicking on a field that is not color-coded allows you as an administrator to add time-off for the respective employee. You can distinguish between time-off, day off, school/training, or sick note (time-off categories can be configured under Administration > Time-off & Absence and, if desired, approved directly).
Here you see all jobs scheduled for the selected month on the left. Still open jobs are red, already planned jobs are green. Means, in each job you have the option to check the box “Planning finished” once all staffing requirements have been entered. This will turn the job green in all calendar views, letting you know that you don’t need to worry about planning for this job anymore. You can also set this to happen automatically under Administration > Jobs > General. Clicking on the respective job displays its information and allows you to edit it if you have the necessary access rights.
Here you get an overview of all resources and their daily jobs with the respective start and end times based on the job or the target times stored for the employee. The view is endless, so you can scroll arbitrarily far into the future.
Here you see the working hours of the individual employees. Green means that someone has worked more than the target time set for the day, red means that someone has worked less than they should have.
Here you see an overview of the time-off days of your employees, freelancers, or subcontractors. If more than one time-off request is recorded on a day, the system displays this with the corresponding number and, if applicable, with a question mark. This is intended to help detect errors and duplicate entries more quickly.
Official holidays and school holidays (entered under administration > Calender > Official Holidays / Calender Block) are displayed at the very top. As usual, the selection can be controlled by filters. For example, you can filter by one or more employees via "Filter employees" or by individual categories.
The color coding is explained in the legend at the bottom of the screen – depending on the chosen view. Here you have the option at the bottom of the screen to distinguish between "Status" and "Category". In the "Status" view, you see the status of the time-off request. In the "Category" view, you see whether it is time-off, training, etc. You can choose different colors for this and create own time-off categories under Administration > Time-off & Absence > Categories.
Clicking on a color-coded field opens the mask for editing the time-off request, depending on your access rights. Clicking on a still free field allows you to add time-off, day off, school/training, or a sick note directly. For individual configuration of the time-off categories, go to Administration > Time-off & Absence > Categories.
At the end of the table, the still available time-off days are displayed for each employee. However, these must be recorded beforehand in the base data.
In addition, you have the option to print a monthly time-off overview for each individual employee. In addition to the calendar overview, the print view contains a list in which all absences are listed in detail.
