Creating a subcontractor basically works the same way as creating an employee. In the subcontractor's profile, a color and a short name can also be assigned on the right, so that the subcontractors and the names of their employees are better recognizable in the job. It is also possible to specify a department or a branch under which the requests are then created.
Contact persons and employees can also be stored for each subcontractor.
Employees can be stored in the system for each subcontractor. Either via the subcontractor's base data profile or by the subcontractor themselves under "My Account". Further personal information about the subcontractor's employees can also be saved there (for example, birth data for reporting lists or similar). The corresponding profiles can then be selected in the jobs.
Each subcontractor can define for themselves after how many months (default: 3 months) the data of the employees should be deleted again if they are not used. If an employee is not selected for future events for three months, the system automatically deletes the personal data. Since the value is specified by the subcontractor, it is the subcontractor's responsibility to ensure the storage period of the data that they transmit to their customers.
Vehicle categories can also be stored in the subcontractor's base data profile. This then enables the requesting and booking of vehicles via the subcontractors - for example, with car rental providers. The same functions as for employees or free vehicles are also available for vehicles in the request dialog, and the subcontractor can accordingly store the availability in the system.
If the subcontractor uses their own CrewBrain account and synchronizes the data, their own employees already booked in the job will now be automatically selected and suggested when reporting back to the client. This way, the names of the employees no longer have to be entered manually.
Since a subcontractor should have access to at least the jobs for which they are requested, they must also belong to a user group. Our predefined user group "Guest" can be used for this purpose. This user group only has access to jobs for which they are requested. Of course, all groups can still be customized individually.
For subcontractors, it also makes sense to give them read access to the "project base data". This way, the requests in the subcontractor's account are correctly grouped, even if they actually cannot access projects.
