CrewBrain supports various options for recording working time and processing payroll. These options typically reflect the employee's type of employment. Freelancers, for example, are usually paid per hour, as a flat rate or by day rate, while permanent employees have a working time account (flexitime).
Employees can only participate in time tracking—either manually or using the central time clock—once their billing method has been defined in their profile under Base data > Statement & Time recording.
A key prerequisite for using time tracking and payroll is the configuration of a statement type for each employee or freelancer. This can be set up in the employee’s or freelancer’s profile under Statement & Time recording.
Statement types reflect the contractual relationship with the employee or freelancer. They include a validity period and must be updated whenever the contract changes (e.g., a change in the agreed working hours). The effective date of the new period must correspond exactly to the date the contractual change takes effect. Backdating a period is also possible.
⚠️ Changes to a statement type affect already recorded working times.
Always check whether a change is appropriate or whether a new period should be created from a specific date.
To ensure correct historic calculations after switching an employee to freelancer (or vice versa), CrewBrain stores the employee type associated with the respective period. When the employment type changes, a new period must be created to ensure the time account is calculated correctly.
