Under the Statement menu item, you can view monthly, weekly, or yearly payroll reports. These can be displayed either as a general overview of all employees, freelancers, and subcontractors, or filtered by individual persons. Each report lists the relevant jobs, the corresponding working hours, and calculates payroll based on the settings defined in the employee’s profile under statement & time recording.
Depending on the payroll method selected for the person in their base data, they will appear either under Statement or under Time recording:
When viewing an individual person (employee, freelancer, or subcontractor), you’ll see their monthly payroll report. Each job includes:
Working hours can be approved or rejected in bulk at the bottom of the report — both in weekly and monthly view.
Enable the checkbox Employees without earnings (general overview) or Jobs without working hours (individual view) to identify jobs with missing time entries.
Enabling the checkbox Month billed visually marks completed months with a green bar. The permission to finalize or lock a payroll period can be assigned via:
Administration > General > User groups > Payroll & Time tracking
This way, you can authorize, for example, HR personnel to handle payroll approval.
Statement reports can be displayed and printed as PDF. Other export formats are also supported: CSV, XLSX, and DATEV.
Inside the monthly report of a specific person, click the plus icon (top right) to create:
For each entry, define the time category, optionally the task, and specify the date and time. Depending on your system settings, time entries may require approval.
To add a vacation period, click the plus icon in the person’s monthly view, then select Add vacation.
If the vacation does not cover a full day, deselect the corresponding checkbox and enter specific hours. Recurring daily periods can also be configured.
Only time off for the current month can be entered here. Use My Account > Time Off to enter time off that is further in the future.
Within the monthly view, click the plus icon and select Add sick leave if you have the appropriate rights.
To adjust account balances (e.g., vacation or hours), use the plus icon in the monthly view and choose Payout.
CrewBrain supports direct export of working hours for DATEV Lodas and DATEV Lohn & Gehalt.
Under
Administration > Time recording > DATEV Export
you can define multiple DATEV profiles (e.g., for full-time employees or mini-jobbers). Assign these profiles to each person in
Base data > Statement & time recording.
