The Personnel Leasing feature allows you to keep track of your employees' working days for individual clients directly when booking or requesting, in order to comply with legal requirements.
To see directly in the request dialog which employee is still allowed to work for a specific PL client and for how long, the client must first be created as such. To do this, go to the base data of the respective client.
In the base data of the respective client you will find the Personnel Leasing icon at the bottom. Check the box for Personnel Leasing. Then the employment period and the break period will appear. The default settings are the legally prescribed 18 months as the maximum employment period and 3 months as the break period. If desired, these numbers can be adjusted here.
In addition, you can check here that all jobs for this client should be marked as PL jobs by default. The system will then automatically ask whether future jobs should also be marked with the note "PL".
Since PL requires certain documents, such as personnel leasing contracts, these can be created individually by us and stored here. Please contact our support for creating such documents.
Since 01.01.2025, thanks to a change in the law, it is possible to conclude personnel leasing contracts electronically. A simple digital signature, which can be created with CrewBrain, is sufficient for this. Therefore, for all PL PDFs as well as for the employees' work contracts, there is a "Send Document" button in the print dialog (from the PL job dialog). When this button is pressed, the PDF is generated and displayed in a preview. Afterwards, the PDF can be sent to the client or employee for signature.
When clients or employees receive a digital contract, they can click on a link in the notification and sign the contract digitally – including location and date. Afterwards, they receive a copy of the respective contract by email. The signed contracts of the employees are automatically stored in the respective employee's profile under My Account > My Profile > Documents.
Your own signature can also be applied to the documents. For this purpose, a document category "Signature" is created under Administration > Staff > Documents, and a signature is stored for each employee in the documents with this category.
The feature is also available for framework agreements for PL in the respective client data record. Here, too, a new contract can be created and sent to the client. This makes it possible to carry out individual assignments only with the help of a signed concretization referring to the framework agreement.
Here you get an overview of all employees who have ever worked for this client. To add another employee, click on "Add employee" at the bottom left and enter the employee's name. If the employee starts "during the year", a starting value for the previous working days can also be recorded here. CrewBrain will then automatically continue to calculate based on this.
In this overview, you can see the last break, the last job performed for this client, since when the employee has been deployed, and whether he or she is still available for this client or not. On the far right, the complete list of all jobs that have been carried out for this client can be accessed. This list can be called up as a CSV, Excel, or PDF document. A day-based overview is also available in PDF form, which allows verification of the calculation.
If the client created in this way is selected in the job information and the box "Personnel Leasing" is checked, certain PL notes are visible when requesting employees. On the one hand, you see the symbol of a note with a pen. If this is green, the employee is still allowed to work for this client. By clicking on the symbol, the number of remaining available days is displayed. If the symbol is red, an employment break is necessary and the employee is initially not allowed to work for this client anymore. If such an employee is still dragged into the job, a red exclamation mark is displayed as a note. Clicking on it takes you to the employee's personnel leasing overview, where you see a list of the last jobs and since when he or she has been deployed for this client. Here, too, you can output the data again as a PDF or in CSV or XLSX format.
Here, for each employee who has worked for a PL client, a list of hours by client is output. This makes it easy to see quickly which employee was active for which client.
In addition, a list of PL jobs rejected by the employee is displayed, for which no hours may have to be guaranteed by the employer.
