CrewBrain has a comprehensive deletion and blocking concept that automatically deletes or anonymizes your employees' personal data after specified periods. This ensures compliance with the EU GDPR and other local laws.
For employees (as well as freelancers and subcontractors), the deletion and blocking concept begins with marking the records as "inactive". From this point on, the following data is deleted at corresponding intervals:
The first step of the deletion concept primarily includes the private data of the person, which only they could view themselves.
From the second step, data recorded by schedulers about the employee is also deleted.
The final step takes place after 10 years and primarily includes the employee's name.
The following data is not affected by anonymization or deletion:
In all these cases, access to the data is still possible after 10 years, but it is no longer visible who recorded this data and to which person it may belong.
In justified cases, it may be necessary to postpone deletion. In this case, the employee profile can be reactivated via the base data dialogs; if it is later deactivated again, the deadlines will start anew. Before each deletion by the deletion and blocking concept, administrators are automatically informed by e-mail.
If the applicant management is used, the data of the applicants is subject to the deletion and blocking concept. This applies especially to those applicants who do not complete their application or who are rejected during the process.
If an applicant has not fully completed the application process, their already recorded data (e.g. documents, certificates, etc.) will be completely deleted from CrewBrain without notice after 24 hours.
For rejected applicants, the desired period can be individually set in the administration under Application > Settings. By default, the data of these persons is removed by the system after four months, whereby steps 1-3 of the deletion and blocking concept for employees are carried out in one step.
If your subcontractors record the information of their employees in your system, these are also subject to the deletion and blocking concept. Each subcontractor can individually define under My Account > Settings after how many months the data of their employees should be deleted if they are no longer actively scheduled in a job. Once this period is reached, steps 1 + 2 of the deletion concept for employees are carried out.
Step 3 is also carried out for these records only 10 years after the last deployment of the respective person, so that records for identical persons do not have to be completely newly recorded if they have already been recorded in the system but have not been active for a longer period.
