Thanks to the DATEV export, you can forward your employees' working hours directly to your tax office. Under the menu item "Time recording" or "Statement", you can download the data in DATEV format at the top right. Individual employees can be activated or deactivated, and for the tax program "Lohn + Gehalt" (Wages + Salary), export on a monthly instead of daily basis is also supported.
First clarify with your tax advisor or payroll office which tax program is used. The interface currently supports the DATEV solutions "Lodas" and "Lohn + Gehalt". You will also need a list of the relevant wage types.
Under Administration > Time recording > Datev export you can then create corresponding profiles for different personnel types with different wage types. These can be assigned to individual employees in the base data under "Statement & Time recording" via a statement period.
In the course of the changeover to the new time recording, the wage types will in future no longer be stored in the DATEV profile, but in the categories for the wage and salary components under Administration > Time recording > Salary components. To ensure downward compatibility, however, the fields in the DATEV profile are still available and should also be filled in there additionally.
If your tax advisor requires information that the export currently does not provide, please contact our support.
Both under Time recording and under Statement you will find a download symbol at the top. You can also download the DATEV files via this download symbol.
The DATEV files are available per employee (from the statement or time recording of an employee) or also for all or selected employees (from the overview of the statement or time recording). This allows you to transmit the files for all employees "in one go" to your tax advisor or payroll office.
The import of the files into DATEV is done via the so-called ASCII import. This allows the import of ASCII files in different formats, and the correct format may have to be searched for here.
The order of the fields in the interface file for the two systems is as follows:
The last three fields are empty fields that are not relevant for CrewBrain, but occur in the DATEV standard format. The import should automatically ignore these fields. If this is not the case, any optional field types can be selected here.
The import differs slightly between calendar and monthly recording. All fields are always transmitted; depending on the variant, different fields are correspondingly empty (DATEV standard). The empty field at the end is often necessary for the import so that the DATEV file format is recognized as "correct".
