If you have already saved the various master data in an Excel file, you can upload them in the respective master data sections (Employees, Freelancers, Subcontractors, Clients, Locations, Vehicles) using a simple import feature for Excel or CSV lists. The import is freely configurable and therefore works with any input format.
First check whether all information (column headings) in your list have a corresponding field in CrewBrain. If this is not the case, you have the option to create additional information fields for them. If your file contains information that should not be considered in CrewBrain, you can initially ignore it. You only create additional information fields for the master data if you want to include the information in CrewBrain. (Administration > Personnel / Clients & Locations / Vehicles > Additional information)
First open the base data, e.g. Employees, Freelancers, or Clients, for which you want to perform the import. At the top right, you will see the cloud symbol with an upward arrow. Click on it and select "Excel & CSV Upload..." to open the upload dialog. During the entire process, you always have the option to go back to the previous window or cancel the upload.
Select the appropriate file and click on "upload" or "next".
If you upload an Excel file, you will now be asked for the worksheet and which rows should be ignored, e.g. the title row.
If you upload a CSV file, you will now be asked for the encoding of the file and which row should be ignored, e.g. the title row.
Here you will always see 3 examples of the columns from your file and can assign the target field in CrewBrain for each. CrewBrain will suggest target fields. Please note that each target field can only be used once. (For example, if you have a phone number and a mobile number in your list, you would have to create an additional information field for the mobile number beforehand.)
If your file contains columns that do not have a corresponding field in CrewBrain or should not be transferred, please select "Ignore" under target field. The data will then be discarded.
Once you have linked all information correctly, please click on "Next".
You will now be asked which information CrewBrain should use to check for duplicates with your existing base data and how to handle duplicates.
You have the option to update the duplicate records, meaning that only differing and additional information will be updated and added to the base data already stored in the system. Alternatively, you can choose to ignore duplicate records. In this case, the already created base data in the system will remain as they are and will neither be updated nor supplemented.
Here you will see a preview of the list as it will be imported into CrewBrain. The first row shows the designation in CrewBrain. You can review all data again. At this point, you also have the option to ignore individual records (rows). For example, if a row contains the record for an employee and this employee should not be created in CrewBrain, it can be ignored here. By clicking on "Import", you finally upload the records.
