CrewBrain provides a standby system for every customer, which is also available in cases of unexpected maintenance. However, you can also use it if, for example, you want to test larger changes to settings before applying them in production. You log in using your usual CrewBrain credentials.

If you use Azure/Entra login to sign in, it may be that the administrator of the CrewBrain system needs to add additional redirect URIs with Microsoft so that the sign-in works as usual.
You can access your standby system at https://YOURSUBDOMAIN.standby.crewbrain.com. Replace YOURSUBDOMAIN with the subdomain of your CrewBrain system, e.g. https://company.standby.crewbrain.com.
Note: Users who use their production system on our other servers, e.g. https://company.eu3.crewbrain.com, can also access their standby system at https://company.standby.crewbrain.com.
The standby system is updated once a day with the data from your production system, usually between 03:00 and 05:00 at night (Europe/Berlin time). Changes that you make in the standby system are then overwritten by the production system.
In addition to the standby system, which is available to you at any time, you of course also have the option to back up your data within CrewBrain itself. To do this, please go to Administration → CrewBrain.com → Backup & Maintenance. There, you can download a current backup copy using the “Download data now” button. Please note that this copy does not include uploaded documents. You must back these up separately.
To always have an up-to-date backup, it may be useful to back up important data, such as time tracking data. To do this, you can use the wide range of export options, which you can always find in CrewBrain under the download arrow, for example as a PDF or Excel file.
CrewBrain backs up data daily and stores backups in multiple geographically independent locations. Backups are encrypted so that unauthorized persons cannot gain access to them.
Backups are deleted a few weeks after the contract has ended.
