This option allows potential applicants to apply for a position in your company via a freely accessible online form at https://yourdomain.crewbrain.com/application.
Activate the application option under Administration > Application > Settings by checking the box. The option will then be available via the above fixed link and can, for example, be integrated into a website.
The form can only be activated if the legal notice and the privacy policy under Administration > Legal requirements are completely filled out.
By checking additional boxes, you decide what information should be requested during the application process or what details you want to receive from the applicant. Important information can also be stored as a mandatory field.
Decide here which categories should be displayed in the application.
If you are missing information here, you can create it as additional information. To do this, go to Administration > Personnel > Additional information
If you mark this additional information as "private", this information will be requested during the application process. Later on, however, only the responsible person will have access to this information. The applicant or employee themselves can no longer access these data.
If you check the box "Show additional information", after clicking "save" you can select which of the already created additional information should be requested during the application.
Furthermore, a possibility for validating additional data fields has been created. For example, number ranges can be defined, but also complex checks such as social security numbers, IBANs, and other special fields are possible.
If you check the box "Show document categories", after saving you can decide by checking additional boxes which documents the applicant should submit during the application. This allows applicants to quickly assign their uploads and gives you a better overview of the uploaded documents.
Specify here after how many months rejected applicants should be deleted.
Here you can individually define the status labels for the application.
Text templates
Here you can modify the predefined texts that appear in the application according to your preferences.
Enter the different open positions here. For each position, the title and a detailed description in the form of a free text field can be stored.
If you publish the link to your personal applicant portal (https://yourdomain.crewbrain.com/application), for example on your homepage, and interested parties follow it, they must first agree to the data processing. Then the applicants receive the list of open positions and can choose the desired one. Subsequently, personal data and the data you have configured in the administration are requested. If you have checked "Show document categories", the applicant can decide in a dropdown when uploading their documents which category the respective document belongs to. The applicant can also upload a photo.
The entered data can be reviewed again in a summary before clicking "Complete application". Once the application is completed, persons who have the corresponding right under Administration > General > User groups > Base data > Applicants are informed by the system about the received application and can view the application under "Applicants" in the base data.
Persons who have the corresponding right under Administration > General > User groups > Base data > Applicants receive an email from the system as soon as an application has been received. They can then view the application via the link contained in the email or directly in the desktop view under Base data > Applicants. Using the filter "Filter applicants", you can filter by application status and chosen position. This allows individual positions to be edited separately.
Applications can only be viewed in the desktop view.
In the own category "Applicants" in the base data, you can also directly see the application status – "canceled" (if the application was not submitted), "applied", "invited to interview", "first interview", "second interview", or "rejected".
You can change the status in the profile of the respective applicant. After a successful application, you can also directly take over the applicant here and convert them into an employee or freelancer.
The deletion concept also applies to applicants, which automatically deletes the data four months after the rejection of an applicant by default. This way, you do not have to worry about data protection compliant handling of applicants.
